Workspace roles

Short answer

Every member of a workspace is an Admin, a Manager, or an Editor: Admins do everything, Managers create and send, and Editors draft and edit. One member is also the owner, who gets replies to the workspace’s emails and Jounce’s emails about it.

A role applies to one workspace. So the same login can be an Admin in one workspace and an Editor in another. The Invite to this workspace dialog sums the three up in a line each:

  • Admin — Everything, including people and billing.
  • Manager — Creates and sends. No people or billing.
  • Editor — Drafts and edits. Can’t send or delete.

Creating a workspace is a login’s right, not a role’s. Whoever creates one is its Admin and its owner. An admin picks a person’s role when inviting them; see Invite someone to your workspace.

How your role shows

Your avatar at the top right opens the account menu. When you’re a Manager or an Editor, the line under your email says so: Editor in this workspace. Admins see no line.

An Editor still walks the send steps to set the recipients and the subject. But the last button reads Save and hand off instead of Send. The email then waits in the list for a Manager or an Admin to send it. See Send or schedule your email.

When a control refuses with Only workspace admins and managers can do this, your role is the reason. Nothing changed. An Admin changes roles on the Members page; see Change a member’s role.

The same reason hides a Delete for an Editor and makes a connection wait for approval:

One admin, always

A workspace keeps at least one Admin. The last Admin can’t be removed, and can’t leave until someone else is made an Admin. See Why does it say a workspace needs at least one admin?

The workspace owner

Every workspace has one owner. At first, that’s the person who created it. The owner can hold any role. On the Members page, an Owner badge sits beside their email address, and the Owner’s email field on the Basics page shows it too.

Three things follow the owner:

  • Replies to the workspace’s emails reach the owner’s address. The address your emails come from stays the same, whoever the owner is. See The address your emails come from.
  • Jounce’s emails about the workspace go to the owner. That includes the email when someone signs up, the Sending is paused email, and a copy of a teammate’s import emails.
  • Confirmation emails reach new subscribers only while the owner’s email address is verified. See Verify your email address.

The owner changes in two ways:

  • Any Admin can make someone else the owner, or themselves, on the Members page. A Manager or an Editor who becomes the owner becomes an Admin too. See Make someone else the owner.
  • When the owner leaves the workspace or is removed, another Admin becomes the owner.

Changing the owner’s role doesn’t change the owner. Their Owner badge stays until an Admin makes someone else the owner.
